Outdoor Events Guide
Essential equipment and furniture for UK outdoor events: markets, food festivals, shows, corporate away days, and country fairs. Expert advice on shelter, seating, heating, logistics, and quantities.
This guide is for organisers of temporary outdoor events, not permanent hospitality operators. Whether you're planning markets, food festivals, corporate field days, outdoor shows, or charity fundraisers, you face unique challenges: rapid deployment, efficient transport, and resilience on varied terrain like grass or uneven ground. These factors are critical here, unlike in fixed indoor venues.
Shelter for Your Outdoor Event
Commercial aluminium gazebos serve multiple essential functions at outdoor events: providing canopies for traders and exhibitors, creating comfortable hospitality seating areas, or marking clear entrance and reception points. Invest in a durable frame, as it's the long-term asset, while the canopy is designed to withstand the elements.
3m x 3m Gazebo
Nine square metres of covered space. Ideal for a single market stall, a compact bar station, a six-person seating cluster, or a two-person reception desk. Most event organisers allocate one 3x3 gazebo per trader pitch.
Frame only: EVP-GAZ-33-FR, £329.95
Package with canopy and 4 weights: EVP-GAZ-33-KIT-WHT-4W, £579.95
3m x 6m Gazebo
Eighteen square metres of extensive cover. Commonly used for catering stations requiring front counter and prep space, larger covered seating areas with multiple tables, or dual trader pitches sharing overhead protection.
Frame only: EVP-GAZ-36-FR-HEX50, £499.95
Package with canopy and 6 weights: EVP-GAZ-36-KIT-WHT-6W, £849.95
Anchoring Gazebos on Soft Ground
When anchoring gazebos on grass or earth, opt for our durable 15kg leg weight bases (£29.95 each) rather than traditional ground pegs. Pegs are prone to pulling out in windy conditions, whereas weight bases securely hold the frame without ground penetration. This is particularly important where site owners prohibit pegging or where underground services might be present.
For calm conditions, a minimum of four weights per 3x3 frame is recommended. In exposed locations or when wind is forecast, ensure every leg is weighted. On very soft or wet grass, placing each base on a flat board will prevent sinking and maintain stability.
Practical Seating Solutions
EventPro® Folding Chairs
Our EventPro® Folding Chairs are supplied in convenient packs of ten. Each chair folds completely flat, allowing ten to stack into a compact bundle easily carried by one person. A team of two can set up fifty chairs in under five minutes, making them ideal for rapid deployment. Available in classic black and crisp white.

EventPro® Series Folding Chair – White (Pack of 10)
NewWHT-FLD-CHR
Black chairs blend seamlessly into most outdoor environments. White chairs offer a brighter appearance for daylight photography but may show mud more readily after a wet day in the field.
Durable Beer Bench Sets
Our 2m Beer Bench and Table Set provides seating for 6 to 8 people and is built to withstand outdoor conditions. Featuring bolt-through steel construction with a galvanised finish, these sets are robust. One set fits comfortably in a standard van, while five sets will fill a transit van.

EventPro® 2m Beer Bench & Table Set – Extra Wide, Extra Strong (Seats 6–8)
NewEVP-BBS-200
Beer benches are perfectly suited for dynamic food and drink zones, such as street food courts, bustling bar areas, or catering pitches, where guests often eat and socialise in a semi-standing environment. They are not designed for formal seated meals or layouts requiring table linen.
Resilient Full Steel Tables
The EventPro® Full Steel Table features a powder-coated steel top, making it impervious to rain and preventing surface damage. Use them effectively under gazebo cover with folding chairs, or as resilient freestanding station tables for various catering setups. Available in black and white.

Effective Outdoor Heating
Both our pyramid and mushroom patio heaters operate on LPG, making them ideal for outdoor events where mains electricity is unavailable or limited to a single generator feed. A standard 13kg propane cylinder provides 8 to 10 hours of full-output heating for either model.
Pyramid Patio Heater, £189.95
This heater radiates warmth in a wide arc from its central flame column. Position it in open areas where guests stand or sit around it. With 13kW output, its visible flame draws attention and adds significant atmosphere at evening events.
Always place on level ground at least 1 metre clear of any overhead cover.

Pyramid Patio Heater (13kW)
NewEP-HEAT-PYRAMID
Mushroom Patio Heater, £159.95
This model efficiently directs heat downward from its mushroom-shaped head. It's the ideal choice for use under gazebo canopies or covered seating areas where a tall pyramid heater cannot safely operate. Offering 13kW output, its compact head is also easier to transport and store.
This is the correct choice under any overhead cover: canvas, timber, or otherwise.

Streamlined Transport and Logistics
Effective transport and logistics planning are crucial for outdoor events. Common issues arise when equipment doesn't fit the vehicle or setup crews lack clear assembly instructions. Always determine your vehicle requirements before placing an order.
- A 3x3 gazebo frame packs to roughly 165cm x 20cm x 20cm. It fits in most long-wheelbase vans alongside other equipment.
- A 3x6 frame has the same cross-section but needs two people to lift and load due to its length and weight.
- Ten folding chairs stack flat at approximately 12cm total depth. Fifty chairs require roughly 60cm of floor space when stood upright against a van wall.
- Beer bench sets weigh around 28kg per set and can be awkward to carry. Allow one person per set for comfortable carry-in from vehicle to pitch.
- Full steel tables fold flat and weigh approximately 10kg each. They can be stacked up to five per pile for efficient transport.
- Patio heaters must travel upright only. Laying them down can cause damage to the internal burner mechanism. Secure them firmly against the van wall rather than leaving them loose on the floor.
Quantities for a 500-Person Outdoor Event
Use these planning benchmarks for a mixed standing and seated outdoor event designed for 500 guests. Remember to adjust quantities based on the specific proportion of your event dedicated to seating, covered areas, or food and drink service.
| Item | Qty | Notes |
|---|---|---|
| 3x3 Gazebo frames | 10–15 | Assumes 20% of guests are under cover at any time |
| 15kg Leg weight bases | 4 per frame | Increase quantity in exposed or windy locations |
| Folding chairs | 150–200 | Provides fixed seating for 30–40% of total capacity |
| Beer bench sets | 15–20 | Each set seats 6–8; ideal for food and drink areas |
| Full steel tables | 20–30 | For use under gazebo cover with folding chairs or as standing stations |
| Patio heaters | 8–12 | 1–2 per covered seating zone; mushroom under canopy, pyramid in open areas |

Navigating Outdoor Surface Challenges
Outdoor events typically take place on grass, compacted earth, or gravel. Each of these surfaces presents unique challenges that differ significantly from flat indoor floors.
- Folding chairs on grass: While rubber feet handle firm ground well, on soft or wet grass, front feet can sink. Consider using interlocking floor mats in high-traffic zones or switch to beer bench sets, which have a wider foot contact area for better stability.
- Gazebo legs on soft ground: Weight bases are designed to distribute load across a wider surface area than pegs. On very soft ground, place each base on a flat board to prevent it sinking during the event and ensure continued stability.
- Steel tables on uneven ground: Our table legs do not adjust. For stability on uneven surfaces, use rubber wedge shims under shorter legs. Always check the table's stability thoroughly before placing any items on it.
- Heaters on grass: Both our pyramid and mushroom heaters feature a flat base disc. Always check their vertical alignment after initial positioning and recheck if ground conditions change or soften during the event.
