Outdoor Events Guide
Equipment and furniture for markets, food festivals, outdoor shows, corporate away days and country fairs. Shelter, seating, heating, quantities and logistics.
This guide is written for temporary outdoor event organisers, not permanent hospitality operators. Markets, food festivals, corporate field days, outdoor shows and charity fundraisers share the same challenge: everything goes into a vehicle at the end of the day. Speed of deployment, transport volume and resilience on grass or uneven ground matter more here than they do in a fixed venue.
Shelter
Commercial aluminium gazebos cover three functions at outdoor events: trader and exhibitor pitch canopies, hospitality seating areas, and entrance or reception points. The frame is the long-term investment; the canopy takes the weather.

Nine square metres of covered space. Fits one market stall, a single bar station, a six-person seating cluster, or a two-person reception desk. Most event organisers allocate one 3x3 per trader pitch.

Anchoring on soft ground
Use 15kg leg weight bases (£29.95 each) rather than ground pegs on grass or earth. Pegs pull out in wind; weight bases hold the frame without ground penetration, which matters where the site owner prohibits pegging or where underground services run below the surface.
Four weights per 3x3 frame is the minimum for calm conditions. In exposed locations or where wind is forecast, use weights on every leg. On very soft or wet grass, place each base on a flat board to prevent sinking.

Folding chairs
The EventPro® Folding Chair comes in packs of ten. Each chair folds flat and ten stack into a bundle one person can carry. Setting out fifty chairs takes under five minutes with two people. Available in black and white.

Black fades into the background at most outdoor settings. White reads better in daylight photography but shows mud by the end of a wet day in a field.
Beer bench sets
The 2m Beer Bench and Table Set seats 6 to 8 and handles outdoor conditions. Bolt-through steel construction with a galvanised finish. One set fits in a standard van alongside other equipment; five sets fill a transit.

Beer benches suit food and drink areas where guests eat standing-adjacent: street food courts, bar areas, catering pitches. They do not suit formal seated meals or layouts requiring table linen.
Full steel tables
The EventPro® Full Steel Table has a powder-coated steel top that handles rain without surface damage. Use under gazebo cover with folding chairs, or as a freestanding station table for catering setups. Available in black and white.

Heating
Both heaters run on LPG, not mains electricity. For outdoor events where power is unavailable or limited to a single generator feed, this matters. A 13kg propane cylinder runs either heater for 8 to 10 hours at full output.

Radiates heat in a wide arc from a central flame column. Position in open areas where guests stand or sit around it. 13kW output. The visible flame draws attention and adds atmosphere at evening events.
Place on level ground at least 1 metre clear of any overhead cover.

Directs heat downward from a mushroom-shaped head. Use under gazebo canopies or covered seating areas where a tall pyramid heater cannot safely operate. 13kW output. The compact head is easier to transport and store.
The correct choice under any overhead cover: canvas, timber or otherwise.

Transport and Logistics
Most problems at outdoor events start when equipment arrives in a vehicle that cannot fit it all, or when the setup crew has not been briefed on assembly. Work out vehicle requirements before you order.
- A 3x3 gazebo frame packs to roughly 165cm x 20cm x 20cm. It fits in most long-wheelbase vans alongside other equipment.
- A 3x6 frame has the same cross-section but needs two people to lift and load.
- Ten folding chairs stack flat at around 12cm total depth. Fifty chairs take roughly 60cm of floor space stood upright against a van wall.
- Beer bench sets run around 28kg per set and are awkward to carry. Allow one person per set for carry-in from vehicle to pitch.
- Full steel tables fold flat and weigh around 10kg each. Stack up to five per pile.
- Patio heaters travel upright only. Lay them down and the burner mechanism can be damaged. Secure against the van wall rather than leaving loose on the floor.
Quantities for a 500-Person Event
Planning benchmarks for a mixed standing and seated outdoor event. Adjust based on the proportion of the event that is seated, covered, or food-and-drink focused.

Surface Considerations
Outdoor events happen on grass, compacted earth or gravel. All three create problems that flat indoor floors do not.
- Folding chairs on grass: Rubber feet handle firm ground well. On soft or wet grass, front feet can sink. Use interlocking floor mats in high-traffic zones or switch to beer bench sets, which have a wider foot contact area.
- Gazebo legs on soft ground: Weight bases distribute load across a wider surface area than pegs. On very soft ground, place each base on a flat board to prevent it sinking during the event.
- Steel tables on uneven ground: Table legs do not adjust. Use rubber wedge shims under short legs on uneven surfaces. Check stability before placing anything on the table.
- Heaters on grass: Both heaters have a flat base disc. Check vertical alignment after positioning and recheck if ground conditions change during the event.
